This Refund Policy explains your rights and our procedures regarding cancellations, refunds, and service modifications.
1. Overview
This Refund Policy applies to all services offered by NexoRivanta, including but not limited to:
- Individual coaching sessions (interview preparation, public speaking, presentation skills)
- Multi-session coaching packages
- Group workshops and training programs
- Corporate consulting services
- Digital products and recorded materials
This policy should be read in conjunction with our Terms and Conditions and Privacy Policy. By purchasing our services, you agree to the terms outlined in this Refund Policy.
2. Cancellation and Refund Timeframes
Our refund eligibility depends on when you cancel relative to your scheduled service:

3. Service-Specific Refund Policies
3.1 Single Session Bookings
For individual one-time coaching sessions:
- Full refund if cancelled more than 7 days in advance
- Partial refunds according to the table above for shorter notice periods
- Free rescheduling once with at least 48 hours' notice
- No refund for cancellations less than 24 hours before scheduled time
3.2 Multi-Session Packages
For packages containing multiple coaching sessions:
- Before First Session: Full refund if cancelled more than 7 days before the first scheduled session, minus any non-refundable deposit (maximum €50)
- After First Session: Refund calculated as: (Total Package Price - Value of Completed Sessions) × Applicable Refund Percentage based on cancellation timing
- Unused Sessions: Packages expire 6 months from purchase date; no refunds for unused sessions after expiration
- Partial Completion: You may receive a prorated refund for unused sessions if you need to discontinue services, minus a 20% administrative fee
3.3 Group Workshops and Training Programs
For group sessions and workshops:
- Full refund if cancelled more than 14 days before the workshop date
- 50% refund if cancelled 7-14 days before the workshop
- No refund if cancelled less than 7 days before the workshop
- Transferring your spot to another person is permitted with written notice at least 48 hours before the event
- If we cancel the workshop, you will receive a full refund or credit toward a future workshop
3.4 Corporate Consulting Services
For corporate clients and custom programs:
- Cancellation and refund terms are specified in individual service agreements
- Generally, a 50% deposit is non-refundable once work has commenced
- Refunds for services not yet delivered are negotiated on a case-by-case basis
- Rescheduling corporate sessions requires at least 5 business days' notice
3.5 Digital Products and Recorded Materials
For downloadable resources, recorded sessions, and digital content:
- Refunds available within 14 days of purchase if you have not accessed or downloaded the materials
- No refunds once digital content has been accessed, downloaded, or viewed
- Technical issues preventing access will be resolved or result in full refund
- All sales are final for live recorded sessions you attended
4. Satisfaction Guarantee
Our Promise to You
We are committed to your satisfaction. If you are not satisfied with your first coaching session for any reason, we offer a one-time satisfaction guarantee:
- Contact us within 48 hours of your first session
- Explain your concerns and why the service did not meet expectations
- We will offer either a full refund of that session or a complimentary replacement session with a different consultant
This guarantee applies once per client and only to the first session of any new service package.
5. Company-Initiated Cancellations
5.1 Consultant Unavailability
If we must cancel a session due to consultant illness, emergency, or other unforeseen circumstances:
- We will provide at least 24 hours' notice whenever possible
- You will receive your choice of:
- Full refund of the session fee
- Free rescheduling to any available time slot
- Credit toward future services with a 10% bonus
- No penalties or fees will be charged to you
5.2 Service Discontinuation
If we discontinue a service you have purchased:
- We will provide at least 30 days' notice
- You will receive a full refund for any unused sessions or services
- We will assist in transitioning you to alternative services or providers if desired
6. Emergency and Special Circumstances
6.1 Medical Emergencies
We understand that medical emergencies can occur. In cases of documented medical emergencies affecting you or an immediate family member:
- Provide medical documentation within 7 days of the missed session
- We will offer free rescheduling regardless of timing
- For multi-session packages, we will extend the expiration date by the duration of your medical absence
- Full refunds may be provided at our discretion for extended medical situations
6.2 Force Majeure
In cases of force majeure events (natural disasters, pandemics, war, government actions, etc.) that prevent service delivery:
- Both parties are released from obligations during the event period
- Services will be rescheduled when circumstances permit
- Full refunds will be provided if rescheduling is not possible or desired
- No penalties will be assessed to either party
6.3 Bereavement
In the event of death of an immediate family member:
- Free rescheduling with no time restrictions
- Package expiration dates extended by 60 days
- Full refund available if you prefer not to continue services
7. Refund Request Process
7.1 How to Request a Refund

7.2 Refund Processing Time
Once your refund is approved:
- Credit/Debit Cards: Refunds processed within 5-7 business days; may take 7-14 days to appear on your statement depending on your bank
- Bank Transfer: Refunds processed within 3-5 business days
- Service Credits: Applied to your account immediately
7.3 Refund Method
Refunds will be issued using the same payment method used for the original purchase, unless:
- The original payment method is no longer available
- You request a service credit instead (receives 10% bonus value)
- A different method is mutually agreed upon
8. Non-Refundable Items and Services
The following are non-refundable under any circumstances:
- Completed Services: Any sessions that have already been delivered
- No-Shows: Sessions where you failed to attend without prior notice
- Accessed Digital Content: Digital products that have been downloaded or viewed
- Administrative Fees: Booking fees, processing fees, and administrative charges (maximum €50)
- Third-Party Costs: Costs incurred from third-party vendors or materials purchased on your behalf
- Custom Materials: Personalized materials or assessments created specifically for you
- Late Cancellations: Cancellations made less than 24 hours before scheduled sessions
9. Rescheduling Policy
9.1 Free Rescheduling
You may reschedule sessions for free under the following conditions:
- Request made at least 48 hours before scheduled session
- Reschedule to any available time slot within package validity period
- One free reschedule permitted per session
9.2 Late Rescheduling
Rescheduling with 24-48 hours' notice incurs a €20 rescheduling fee. This fee is waived for:
- Medical emergencies with documentation
- Company-initiated schedule changes
- First-time clients (one-time courtesy)
9.3 Multiple Reschedules
Excessive rescheduling (more than 3 times for the same session) may result in:
- Additional rescheduling fees
- Requirement to prepay for rescheduled sessions
- Limitations on future rescheduling options
10. Disputed Charges
10.1 Billing Errors
If you believe you have been charged incorrectly:

- Provide details of the disputed charge
- We will investigate and respond within 5 business days
- Errors confirmed will be refunded within 7 business days
10.2 Chargebacks
Before initiating a chargeback with your bank:
- Contact us first to resolve the issue directly
- Most issues can be resolved quickly through direct communication
- Chargebacks may result in account suspension pending investigation
- Fraudulent chargebacks may result in permanent ban and legal action
11. Service Credits and Gift Certificates
11.1 Service Credits
When you choose service credit instead of a refund:
- Receive 110% of refund value as account credit
- Credits valid for 12 months from issue date
- Can be applied to any of our services
- Non-transferable and non-refundable to cash
11.2 Gift Certificates
For services purchased via gift certificate:
- Refunds issued to the original purchaser
- Certificate holder may receive service credit
- Unused gift certificates valid for 12 months
- No cash refunds for gift certificates
12. Package Transfers
12.1 Transferring to Another Person
Multi-session packages may be transferred to another person:
- Written request required from both parties
- €50 transfer administration fee applies
- Transfer must occur before any sessions are completed
- New recipient must meet eligibility requirements
- Original purchaser remains financially responsible
12.2 Partial Transfers
Splitting package sessions between multiple people is not permitted unless specifically authorized in writing.
13. Promotional and Discounted Services
Services purchased at promotional or discounted rates:
- Subject to same cancellation timeframes as regular services
- Refund calculated based on promotional price paid, not regular price
- May have additional restrictions specified at time of purchase
- Promotional offers cannot be combined with refund bonuses or credits
14. Modifications to Refund Policy
We reserve the right to modify this Refund Policy at any time. Changes will:
- Be effective immediately upon posting to our website
- Not apply to services already purchased before the change
- Be communicated via email for material changes
- Be dated and versioned for clarity
Your continued use of our services after changes constitutes acceptance of the modified policy.
